Japan visa planning is one of the strongest enquiry filters for Indian travel agents. Clients who ask about visa fees, documents and processing timelines are often serious about travel. Agents can convert these enquiries better when the advice is practical, current and careful.

Key 2026 Points for Indian Nationals
The Embassy of Japan in India states that applications should be submitted through VFS and that eVISA started in India from April 1, 2024. The Embassy page also states that, from July 1, 2026, the visa fee for Indian nationals for single or multiple visa is INR 500, with VFS service fee charged separately. It also notes that processing times can vary significantly and cannot be expedited or prioritized according to the applicant's schedule.
When Can Clients Apply?
The Embassy states that applications can be accepted from three months prior to the travel date. For group travel, agents should avoid waiting until the last few weeks, especially before cherry blossom, summer holidays, Diwali, New Year, school vacations and corporate incentive departures.
Documents Agents Should Prepare Carefully
Exact requirements depend on traveller profile and visa category, but agents should prepare clients for the usual documentation discipline: valid passport, visa application form, photograph, travel itinerary, hotel details, flight plan, financial documents, employment or business proof and any invitation or group support documents where applicable.
For group files, consistency matters. Names, passport numbers, dates, hotel nights and itinerary copies should match across documents. Incomplete or inconsistent paperwork can create avoidable delays.
VFS and Fee Communication
Agents should separate government visa fee, VFS service fee, courier or optional service charges and agency handling charges in their communication. This prevents confusion and protects trust. The Embassy also warns applicants to be aware of fraud and pay only official visa and service charges.
